Event Management Assistant

MAIN RESPONSIBILITIES

  • The role reports to the Chief Executive Officer (CEO) and the Director of Strategic Initiatives.
  • The role will mainly handle the guest list management and invitation process, as well as administrative tasks.
  • There may be special projects to assist on.
  • Skills required include good organisational skills, as well as project management and communication skills.

 

GUEST EVENT MANAGEMENT – MAIN EVENT

  • Manage the digital invitation process
    • Responsible for invited guests’ journey from Save The Date -> full itinerary presented -> to Follow up after the Brilliant Minds main event. 
  • Liaise with the Guest Hospitality Team
    • Answer all guest inquiries and logistics pre event. 
    • Running the Concierge team on site. 
    • Securing guests leaving the Brilliant Minds event with a seamless hospitality experience. 
  • Point of contact for the production team.
    • Responsible for feeding the production team with all guest information needed for an excellent event execution. 

 

REQUIREMENTS AND QUALIFICATIONS 

  • Minimum of 2 years experience
  • Prior experience within event management is a requirement
  • MS Office knowledge is a requirement

 

SKILLS AND ABILITIES 

  • Highly self-motivated
  • Excellent verbal and written communication skills – English and Swedish
  • Excellent organizational skills
  • Attention to detail and the ability to ensure all outputs are of the highest quality

Location: Stockholm, main office

Schedule and duration: either project based (Oct-June, hours vary during this period) or full-time employee
