Event Management Assistant
MAIN RESPONSIBILITIES
- The role reports to the Chief Executive Officer (CEO) and the Director of Strategic Initiatives.
- The role will mainly handle the guest list management and invitation process, as well as administrative tasks.
- There may be special projects to assist on.
- Skills required include good organisational skills, as well as project management and communication skills.
GUEST EVENT MANAGEMENT – MAIN EVENT
- Manage the digital invitation process
- Responsible for invited guests’ journey from Save The Date -> full itinerary presented -> to Follow up after the Brilliant Minds main event.
- Liaise with the Guest Hospitality Team
- Answer all guest inquiries and logistics pre event.
- Running the Concierge team on site.
- Securing guests leaving the Brilliant Minds event with a seamless hospitality experience.
- Point of contact for the production team.
- Responsible for feeding the production team with all guest information needed for an excellent event execution.
REQUIREMENTS AND QUALIFICATIONS
- Minimum of 2 years experience
- Prior experience within event management is a requirement
- MS Office knowledge is a requirement
SKILLS AND ABILITIES
- Highly self-motivated
- Excellent verbal and written communication skills – English and Swedish
- Excellent organizational skills
- Attention to detail and the ability to ensure all outputs are of the highest quality
Location: Stockholm, main office
Schedule and duration: either project based (Oct-June, hours vary during this period) or full-time employee
